New to Auction X? This page covers everything you need to know — from registering to picking up your wins. Read through once and you'll have no surprises.

Before You Bid — Please Read

All bidders are expected to review our Terms & Conditions before placing any bids. By bidding, you agree to them. This page covers the key points, but the full Terms & Conditions contain everything that applies to your purchase.

How to Register

Getting started takes a few minutes and you only do it once.

To participate, you must:

  • Be 18 years of age or older

  • Have a valid credit card

Step 2 — Fill out the short registration form. You'll need your name, email address, mailing address, and credit card information.

Step 3 — You're in. Once registered, you only need your email and password to bid in every future auction.

About the $1 verification charge: A temporary $1 hold will be placed on your card to confirm it's valid. This is not a real charge and will disappear within a few days. If you win items, your card will be charged automatically for your total invoice unless you've arranged to pay by e-transfer ahead of time.

Fees —

What You Pay and Why

We believe in straightforward pricing. Every winning bidder pays the same two fees, no exceptions.

16% Buyer's Premium Covers credit card processing, the HiBid platform, and our backend systems.

$1.00 Per Item Fee A flat fee that covers staff, staging, handling, and operations.

These fees apply to all purchases and are clearly broken down on every invoice. Even with fees, most items sell at a fraction of their retail value.

How Bidding Works

Proxy Bidding When you place a bid, you're entering the maximum amount you're willing to pay. The system bids on your behalf — just enough to keep you in the lead — but never more than your maximum.

Example: An item is at $10. You set a max of $30. If no one else bids, you win it for $10. If someone bids $12, the system moves you to $13 automatically. This continues until your max is reached or no one bids higher.

Your maximum bid is private — other bidders cannot see it. You can raise it at any time.

Soft Close When a bid is placed in the final minutes of an item's closing time, the timer automatically extends by 1–2 minutes. This prevents last-second sniping and gives all bidders a fair chance to respond — just like a live auction room. If you see the timer jump, that's the soft close in action. Stay ready.

Watch List
Add items to your Watch List to track them in one place. From your Watch List you can see current bids, time remaining, and whether you've been outbid — without scrolling through the full auction. It's the easiest way to stay organized across a large auction.

Fees & Payment

Once the auction closes, all winning bidders receive their final invoice by email. We accept e-transfer, cash, and credit card.

  • E-transfer: Send the exact invoice amount to our e-transfer address on your invoice.

  • Cash: Exact change is appreciated — we do not always have cash on-site to make change.

  • Credit card: A 3% processing surcharge applies to all credit card payments.

You have until Wednesday to pay by e-transfer or cash. Any invoices that remain unpaid after Wednesday will be automatically charged to the credit card on file, plus the 3% surcharge.

Check your junk or spam folder if you haven't received your invoice by 10:00 AM the day after the auction closes. Still nothing? Call us and we'll sort it out.

Pickup Information

Location: 389 Emerald Street N, Hamilton

Pickup Hours:

  • Monday: 1:00 PM – 6:00 PM

  • Tuesday: 10:00 AM – 6:00 PM (closed 12:00–1:00 PM)

  • Wednesday: 10:00 AM – 6:00 PM (closed 12:00–1:00 PM)

  • Thursday through Sunday: Closed

You have 3 days after the auction ends (Monday through Wednesday) to pick up your items. All pickups are by scheduled appointment — once your invoice is paid, you'll receive a booking link by email.

Late or missed pickups: Any items not collected by Wednesday at 6:00 PM will be forfeited. Your card will still be charged for your order, plus a 2% restocking fee on the total invoice. No extensions or exceptions are granted.

Sending someone else to pick up?

  • Paid by e-transfer: Yes, someone else can pick up. They'll need your name and order number — a screenshot of your confirmation email works.

  • Paid by credit card: The cardholder must pick up in person. No exceptions. This is in place to prevent fraud.

Combining pickups from different auctions: Each auction has its own pickup window. We cannot hold or combine orders from separate auctions.

Inspecting items at pickup: You're welcome to inspect your items before you leave. We just ask that you step to the side if needed so we can keep things moving for other scheduled pickups.

Bring: You're bid card number. If your item is heavy, bring help and any bags or boxes you'll need.

Return Policy

Auction X is a liquidation auction, not a retail store. Before bidding, understand how our listings work and what protections apply to each item grade.

How Our Listings Work — Important information - please read

Photos always take precedence over written descriptions.

When items are scanned into our system, the title and description are auto-generated based on the barcode scan. Because some products are returned to retailers in the wrong box, the scanned description may not always match the actual item inside. This is the nature of liquidation.

We photograph every item carefully — including model numbers and serial numbers on electronics — so that what you see in the pictures is the true representation of what you are bidding on. If a model number or product detail is visible in the photos, that is what is being sold, regardless of what the written description says.

It is your responsibility as a bidder to review all photos before placing a bid. If it's in the picture, it's what you're getting.

7 Days — Misrepresentation (Tiers 1, 2 & 3: Brand New, New Missing Accessory, Excellent)

If an item in any of these three grades was materially misrepresented in both the photos and the written description — wrong model, wrong grade, or a major undisclosed defect — you may return it within 7 days of pickup.

This is our mistake. You get the longer window.

Returns are accepted when all of the following are true:

  • The item was listed as Brand New, New Missing Accessory, or Excellent

  • The misrepresentation was not visible in any listing photo — photos always take precedence

  • The item is returned within 7 calendar days of pickup in its original condition and packaging

  • A Return Authorization Request is completed on-site with staff approval

Please note: Missing small generic parts — screws, chargers, cables, brackets, or manuals — are not considered valid return reasons. We are a liquidation auction. Generic hardware that was not specifically called out in the listing is not covered under this policy.

5 Days — New Item Doesn't Function (Tier 1: Brand New only)

If an item was listed as Brand New and it does not work or function as expected, return it within 5 days of pickup for a full refund or replacement.

Returns are accepted when all of the following are true:

  • The item was listed as Brand New

  • It does not power on or function as expected

  • It is returned within 5 calendar days of pickup in its original, unopened or re-sealable packaging

  • A Return Authorization Request is completed on-site with staff approval

If a replacement is available, we'll swap it. If not, a full refund is issued to your original payment method.

Final Sale — No Returns (Tiers 4, 5 & 6: Good, Fair, For Parts Only)

These items are graded, priced, and photographed to reflect their condition. You bid knowing exactly what you're getting. All sales are final — no exceptions.

This includes any item sold as Good, Fair, Salvage, or For Parts Only regardless of circumstance.

How to Make a Return

  1. Email us at info@auctionx.ca with your bid card number and a description of the issue. Include photos if possible.

  2. We'll review your request and get back to you with next steps. If approved, we'll ask you to bring the item in during pickup hours.

  3. We'll inspect the item in person and determine whether the return qualifies under our policy.

  4. If approved, a refund or replacement will be issued at that time.

Once an item leaves our building, the sale is considered final — particularly if the item has been removed from its packaging or loaded into a vehicle. Inspect everything at pickup before you leave.
